Program Coordinator

SCOPE OF WORK

We are a social enterprise and a charity, using a market-based model to disrupt the current system. Along with our book publishing partners, we are filling the gap in book ownership. We are working to ensure that kids in need have as much opportunity as possible, to build a healthy future for themselves and the rest of Canadians. By building up the home libraries of children from low-income and historically excluded communities, we work to develop resilient communities and reduce the educational inequities that entrench many Canadians in poverty.

Network community-based events often involve multiple First Book Canada (FBC) stakeholder representatives, including but not exclusively, school-based educators, corporate volunteers, authors & illustrators, and book publishers.

Projects are often organized against tight timelines and require detailed levels of organization, communication, tracking, reporting and time management.

There are often multiple projects running simultaneously throughout the year. The Program Coordinator will be expected to support on logistical & communication details of the project(s) and maintaining consistent internal communications amongst the FBC team so that those responsible for confirming elements of the project are supported in meeting deadlines and external parties are updated regularly.

PROGRAM / PROJECT EXECUTION

The Program Coordinator will work with the First Book Canada team to coordinate, execute, track, and report on all FBC network events. This will include:

Book-Bag-Builds & Community Pop-Up Book distributions

  • Creation and/or customization of project timeline according to the standard operating procedure (SOP)
  • Creation and/or customization of project logistical and materials checklist
  • Support for network engagement – confirming beneficiary school/organization
  • contact(s), led by Program Manager(s)
  • Event material acquisition, production & distribution, as confirmed by Program Manager(s)
  • Moderation of on-site organization for the day of the “build” and/or distribution
  • Wrap up and reporting

Special Order Systems Coordination

  • Liaison with the network member organization on book order requests
  • Issuance of purchase orders to publishers
  • Tracking and confirmation of book deliveries
  • Financial recording of book costs and billing to members

REPORTING & ADMIN

  • Drafting of program activity reporting
  • Support for client/funder reports & the annual impact report
  • Ongoing organization of common drive information folders

Skill Expectations:

  • detailed & demonstrated project management experience
  • proficient communication in English & French
  • proficiency with Excel
  • demonstrated time management
  • The coordinator will be trained on the use of Salesforce, Magento, and data transfer systems associated with Excel files.

Supervision and mentoring will ensure that they are supported effectively in a learning environment. An open-door policy provides access to support as needed. The coordinator will work closely with all First Book Canada staff and report to the Executive Director. Compensation will be commensurate with scope and experience.

Timeframe: full-time, hybrid work structure with min-two days in downtown Toronto office – start date February 16th, 2026.
